Preventive Maintenance Checklist for Contractor Vehicles

Montgomery County, MDTony AutomotiveUpdated

Use this checklist as an operating reminder alongside the manufacturer’s maintenance schedule. It is not a substitute for a required inspection program, a mechanic’s assessment, or the instructions for your exact vehicle.

Before the vehicle goes to work

  • Look for visible tire damage and unexpected leaks.
  • Check that required lights, mirrors, wipers, and visibility are in usable condition.
  • Review dashboard warnings and report unusual starting behavior.
  • Report changed braking, steering, or handling before dispatch.
  • Check cargo security and load limits using the vehicle and equipment instructions.

At the planned service review

  • Compare current mileage and time with the manufacturer schedule.
  • Identify towing, idling, dust, short trips, or other severe-use conditions.
  • Review oil and filter service, tires, brakes, fluids, belts, and other items specified for that vehicle.
  • Discuss open driver reports and recent repairs.

Do not turn the checklist into a rule that every fluid needs changing at each visit. The correct product, interval, and procedure vary by engine, transmission, and other equipment. Missing records should lead to a discussion about condition and priorities.

After the appointment

Record completed work, mileage, date, and any deferred items. Assign a person and a follow-up date for recommendations that remain open. Make the next service reminder specific to the vehicle so one frequently used pickup does not share an unsuitable schedule with a lightly used van.

Keep safety decisions separate from convenience

A job deadline does not make reduced braking, unstable steering, or an overheating engine safe to ignore. Establish a clear path for drivers to stop using a vehicle and request assistance. Tony can discuss recurring maintenance arrangements; the business still needs a process for day-to-day reporting.
